Position Summary

Reporting to the Manager, Governance and President’s Office, the Executive Assistant (EA) ensures the President’s Office functions effectively. The bilingual point of contact for internal and external stakeholders, the Executive Assistant manages scheduling, travel and logistics, prepares governance materials for staff, Board, committees and partners, communicates promptly and professionally with all stakeholders and ensures information and activities and the CEO’s priorities flow smoothly.

Hiring Salary Range (90-95%): $60,563 – $63,750

Position Summary

Reporting to the Manager, Governance and President’s Office, the Executive Assistant (EA) ensures the President’s office functions effectively. The point of contact for internal and external stakeholders, the EA manages scheduling, travel and logistics, prepares governance materials for staff, Board, committees and partners, communicates promptly and professionally with all stakeholders and ensures information and activities and the CEO’s priorities flow smoothly.

Main Responsibilities

Support to the CEO and President’s Office (75%)

  • Manage the CEO’s schedule, appointments, travel arrangements and expense claims. Support the CEO to manage competing priorities and scheduling and workload challenges.
  • Monitor the CEO’s inbox, prioritizing correspondence, drafting messages, tracking follow-ups and decisions, and maintaining an organized filing system.
  • Serve as the primary point of contact for the CEO, representing the office with professionalism, responsiveness, and sound judgment.
  • Ensure stakeholders are adequately informed regarding the CEO’s calendar and priorities.
  • Help plan and deliver events and special initiatives led by or involving the CEO and Senior Leadership Team.

Administration and Organizational Support (25%)

  • Support the Manager, Governance and President’s Office on tasks related to the Board and committees, such as scheduling meetings, preparing agendas and meeting materials, coordinating travel and logistics, taking minutes, and other responsibilities.
  • Act as a secondary liaison to Board and Committee members, ensuring continuity of communication and support.
  • Coordinate services, logistics, and the workplace experience of the Foundation headquarters in Toronto.
  • Coordinate travel arrangements, agendas and expense claims for Senior Leadership Team members.
  • Maintain administrative processes that are accurate, timely, and compliant with internal protocols, including record keeping.
  • Support documentation, tools, systems, and practices that improve workflow and collaboration.
  • Participate in and support cross-functional initiatives.
  • Carry out additional duties as required to support the CEO and the Foundation.

Position Requirements

  • C1 or higher in both English and French.
  • Diploma in office management (DEC) or equivalent.
  • Three (3) years in a similar position.
  • Comfort using Sharepoint and Microsoft Suite (M365).
  • An interest in non-profit and foundation governance.
  • Ability to support executive, governance, and organizational needs outside standard hours when required.
  • Alignment with the Foundation’s values and mission.
  • Demonstrates commitment to equity, diversity, inclusion.

Asset Qualifications

  • Experience working in a philanthropic organization.
  • Experience working with Salesforce Not-For-Profit.
  • Understanding of environmental and social issues in Canada.
